AI Transparency Statement – Ray White Commercial CSR

At Ray White Commercial CSR, we are committed to providing professional, efficient and reliable commercial property services. As part of our ongoing improvement, we may use artificial intelligence tools to assist our team with certain administrative, communication and workflow tasks.

This statement explains how we use AI, the safeguards we apply, and what this means for our clients, owners, tenants, contractors and other stakeholders.

We do not rely on AI to make final decisions about property management matters.

We do not use AI as a substitute for:

  • lease interpretation requiring professional judgement;
  • final decisions about owners, tenants, contractors or properties;
  • statutory notices or formal legal documents without appropriate review;
  • privacy, compliance or risk decisions; or
  • human communication in sensitive or complex matters.

Where legal, financial, regulatory or complex property issues arise, these are handled by appropriately qualified people or referred for professional advice where required.


4. Privacy and Confidentiality

We take privacy and confidentiality seriously.

We do not intentionally enter confidential, personal, sensitive, financial or identifying information into AI tools unless we are authorised to do so and appropriate safeguards are in place.

Where possible, information used with AI tools is de-identified or generalised.

Examples of information we seek to protect include:

  • owner details;
  • tenant details;
  • lease information;
  • financial information;
  • arrears information;
  • bank account details;
  • contractor details;
  • private correspondence;
  • dispute information;
  • insurance matters;
  • incident reports; and
  • any other confidential property management information.

Our use of AI is intended to be consistent with our privacy, confidentiality and professional obligations.


5. Accuracy of AI-Assisted Content

AI tools can sometimes produce information that is incomplete, inaccurate or unsuitable.

For this reason, AI-assisted content is reviewed by our team before being used for business purposes. We do not treat AI-generated information as automatically correct.

Where accuracy is important, our team checks the relevant source information, including property records, lease documents, owner instructions, contractor updates, legislation, professional advice or other appropriate materials.


6. Communication Standards

AI may assist with drafting or improving communication, but our communications remain our responsibility.

We aim to ensure that all AI-assisted communication is:

  • professional;
  • accurate;
  • clear;
  • respectful;
  • commercially appropriate;
  • consistent with our obligations; and
  • reviewed by a team member before being issued.

7. No Automated Decision-Making

We do not use AI to make automated decisions that materially affect owners, tenants, contractors, applicants, staff or other stakeholders.

AI may assist with organising information or preparing drafts, but decisions remain subject to human review and judgement.


8. Continuous Improvement

AI technology is changing quickly. We are committed to using AI carefully, responsibly and transparently.

Our team undertakes ongoing training to understand the appropriate use, limitations and risks of AI tools. We also review our AI practices to ensure they remain suitable for our business, clients and stakeholders.

This AI Transparency Statement should be read together with our Privacy Policy, terms of engagement, management agreements and any other relevant documents or policies.

If there is any inconsistency between this statement and a formal agreement, legal obligation or privacy requirement, the formal agreement or legal obligation will prevail.
